Background

Appfire, a leading provider of apps for variety of environments, recognized the need to revamp its Jira extension, then called Jira to Google integration, which integrated seamlessly Jira issues with Google Calendar giving possibility to set up events in Google Calendar directly from Jira issue connecting the two created entities. The existing extension, while functional, was outdated and lacked essential features. Users struggled with navigation and integration, resulting in a suboptimal user experience. With known obscurities decision to refresh the app was made.

Objectives

Main objectives were outlined by user behaviour observation and desk research:

  1. Modernization: Update the extension's design to meet current standards and enhance visual appeal.
  2. Feature Enhancement: Introduce new functionalities to improve productivity and user experience, including real-time synchronization with Google Calendar and advanced task management capabilities.
  3. Simplified Onboarding: Improve the first-time user experience by providing clear setup instructions and guidance.
Challenges

Challenges compelled outdated app rework:

  1. Outdated Functionality: The existing extension lacked modern features and seamless integration with Google Calendar.
  2. Complex Interface: Users found it challenging to navigate the extension due to a cluttered and unintuitive interface.
  3. Unclear Onboarding: First-time users struggled to set up the extension and connect it with Google Calendar, leading to frustration.
Research

Research had to be quickly conducted due to stiff deadlines, thorughout it I've done:

  1. Quantitative data review: digging into numbers helped us answer main question "if there is a neccessity to rewrite?. Besides answering business question, app data review pointed out main funnels and user paths which progressed into future designs."
  2. Reviewing support cases and functionality requests: Dozens of requests were gone through, mapped and categorized. Their possible impact and difficulty to deliver was exposed on impact/effort matrix.
  3. Preliminary usability tests with followup questions: 6 first time users were taken to go through tasks, their on-screen behaviour was mapped which uncovered main friction points.
Solution

    Starting from scratch gave variety possibilities that can be grouped in:

  1. Redesigned Interface: I have undertook a complete redesign of the extension, focusing on a clean and intuitive interface. This modernization aimed to improve user engagement and streamline interaction with the extension.
  2. New Functionalities: I have introduced new features to enhance the extension's capabilities, such as real-time synchronization with Google Calendar events and customizable task management features.
  3. Improved Onboarding: The onboarding process was revamped to provide clear setup instructions and interactive tutorials for new users, facilitating seamless integration with Google Calendar.

Outcome

The redesigned Issue Events extension received positive feedback from users, with many appreciating its improved usability and enhanced functionality. The modernized interface and new features led to increased user satisfaction and productivity. The simplified onboarding process resulted in a reduction in user abandonment rates and improved overall user experience, positioning Issue Events as a valuable tool for project management and collaboration within Jira.

Conclusions

Through the redesign of Issue Events, usability issues were successfully addressed as new features to enhance user experience have been introduced. The initiative demonstrated Appfire's commitment to delivering innovative solutions that meet the evolving needs of Jira users. By modernizing the extension and improving usability, Appfire strengthened its position as a leader in providing high-quality apps for Atlassian products. Both NPS score and CSAT jumped along side with significantly shorted time of user to set up app and create first event.
